Administrative Assistant  - Narcotics Enforcement Unit (ada: White Mountain Task Force.)

Employment Status: Full-Time – Contract – At-will

FLSA Status: Non-Exempt 

Experience Required: Prefer an Associate Degree in accounting, or five (5) years of related experience in administrating Federal Grant related to law enforcement or five (5) years of performing administrative services to law enforcement agency, plus five (5) years of bookkeeping and accounting procedures with law enforcement grants.

Minimum Education Requirements: High School Diploma or equivalent

Department: Law Enforcement

Direct Supervisor: Task Force Commander

Supervisory Responsibility: Direct (0); Indirect (0)

Primary Work Location: Works inside in an office setting.

Certification: Must possess a valid state issued driver’s license with no prior convictions, for the past five (5) years of Driving While under the Influence of Alcohol and/or Drugs.  No Convictions for any felony violations.

 

Job Summary: To perform a variety of routine and complex clerical, secretarial, fiscal duties, and administrative work in keeping official records, providing administrative support to associated agencies, assists with the administration of the standard operating policies and procedures of the task force office, answering telephones, providing assistance to various outside agencies, compilation of data for reports, memoranda and other material requiring judgement as to content, accuracy and completeness.

 

 

Essential Job Functions

                                                                                                                                      

An employee in this position may be called upon to do any or all of the following essential duties:

 

  • Regular attendance is required to perform the duties of this position.
  • Operates listed office machines as required.
  • Inputs data to standard office and departmental forms: compiles data for various reports.
  • Responsible for preparing payroll reports.
  • Receives, stamp and distributes incoming mail, processes outgoing mail (including certified or registered mail.
  • Assists in preparing for conferences and/or training classes.
  • Preforms limited computer backup and maintenance functions.
  • Maintains financial records, personnel records regarding to payroll and overtime that are directly related to task force activities.
  • Generates correspondence and reporting by the New Mexico High Intensity Drug Trafficking Area (NMHIDTA) or the Office of National Drug Control Policy (ONDCP).
  • Assisting with the grant development; writing and budget on a yearly basis.
  • Attends all meetings and recording minutes of all task force board meetings.
  • Assists in the maintenance of all task force inventories of supplies and all equipment, for both the NMHIDTA and for the County of Otero.
  • Performs all other duties as assigned.
  • Normal work hours are 8 am to 5 pm, Monday through Friday.

An employee in this class must have the following knowledge, skills, and abilities upon application:

 

Knowledge 

  • Working knowledge of computers and electronic data processing, working knowledge of modern office practices and procedures:  some knowledge of accounting principles and practices.
  • Prefer good working knowledge of Microsoft Office.

Skills

  • Skill in operations of operating tools and equipment related to office duties, skills in grammar, punctuation, and written composition.
  • Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to maintain extremely confidential information; ability to work independently and exercise discretion in priority setting workflow management; ability to handle multiple tasks with and without established deadlines.

  • Maintain insurability and operate all county vehicles in accordance with policies and procedures of the County of Otero.
  • Demonstrate self-initiative in preforming routine tasks in accordance with standard operating procedures and guidelines.
  • Type and enter computer data at a speed necessary for successful job performance.
  • Work cooperatively, and politely, providing assistance to and with the public, co-workers, other County Departments, boards, commissions, committees and outside agencies maintaining a positive pro-active attitude toward all human interaction.

 

 

Special Requirements:

  • Residency requirement: residing within Otero County.
  • No felony convictions or disqualifying criminal history.
  • Prefer 45 wpm typing or 8000 kph data entry and 6000 kph 10-key.  

 

Physical Demands

The following physical abilities are required: 

  1. The work is light work which requires exerting up 25 pounds of force occasionally, and/or up to 25 pounds of force to move objects.
  2. While performing the duties of the job, the employee is regularly required to talk or hear.  
  3. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms. 
  4. The employee is occasionally required to stand, walk, stoop, and bend. 
  5. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

 

Work Environment

The noise level in the work environment is usually quiet.
